The Institute of Contemporary Arts is currently in the go-live phase of migrating to Spektrix. The ticketing, membership and opportunities functionality went live in April and we will go live with e-commerce (bookstore and editions) in the coming weeks. While the project has been a success overall, we have identified the need for a Database and GDPR Consultant to oversee the bedding-in process for the new system, identify the smartest ways for staff to work (for the first time) using a proper charity/fundraising CRM, and conduct a full review of the data protection and GDPR procedures which were put in place in May 2018 before the system migration.


  • Undertake a thorough GDPR compliance exercise across all ICA departments, culminating in an updated privacy policy and handbook and training workshops for staff
  • Lead on ensuring all data sources and contact lists have been properly imported to Spektrix, old spreadsheets etc decommissioned, and ICA staff actively using Spektrix for relationship management
  • Alongside the Development Team, lead on a data processing exercise where all Spektrix records are verified and tagged with useful attributes for mailing lists and invitations on an ongoing basis (e.g. artists and creators, board and staff, areas of interest)
  • Generally ensure we are getting the best out of Spektrix, and hold workshops with staff on integrating the tools into day to day workflows to reduce administration and improve productivity
  • Advise on appropriate methods to collate and combine reporting from Spektrix and other data sources (e.g. Axiomatic Peoplecounter, Artifax, Booksolve, Goodbox) to result in high quality daily/weekly and annual reporting
  • Advise on any other system integrations which may be appropriate
  • Alongside our Head of Marketing and PR and Membership Relations Manager, advise on the ongoing process of transferring direct debit members to continuous authority while maximising retention
  • Alongside our Head of Design and Copy Editor, conduct review of internal mailing resources, such as templates

Essential criteria:

  • Experience working in a gallery, museum, cinema or other cultural venue using Spektrix
  • An ambassador for the intrinsic value of centralising audience and relationship management within Spektrix
  • Significant experience using Spektrix as an administrator
  • Significant knowledge and understanding of GDPR legislation
  • Experience of project management, working across different departments with different priorities and ability to be assertive with staff at all levels of the organisation
  • Experience writing internal policies and procedures

Desired criteria:

  • Acted as data protection officer for at least one comparable and complex organisation
  • Experience of delivering training or workshops
  • Experience of working on a database migration project within a cultural organisation and/or charity
