Providing operational support and leadership to Creative & Cultural Skills

£20,149 - £24,500

This role provides operational support and leadership to the organisation, working in partnership with the Senior Management Team and Board of Trustees, to ensure sound internal planning and communication as well as managing rigorous systems to support external partners and stakeholders.

This role works to the CEO and Finance Director, and closely the Senior Management Team, and with the Heads of Finance and Communications with a view to ensuring the three areas of work (finance, communications and programme) work effectively together.

Key Responsibilities

  • Ensure the smooth running of the company’s annual programme of work, supporting the senior staff
  • Support the board of trustees
  • Manages the company’s systems, filing and archiving
  • Support reporting to funders and stakeholders

Ensure the smooth running of the company’s annual programme of work, supporting the senior staff

  • Put in place and run systems to support the National Skills Academy and Employer activities across England
  • Ensure effective administration and delivery of NSA Leadership Group activity
  • Run internal systems and administration to ensure smooth management and reporting of all activity agreed by the SMT
  • Provide support to Skills Academy/Partnership Managers to support their area-based work

Support the board of trustees

  • Supervise the preparation and circulation of papers for the board of trustees
  • Maintain the contracts management system and associated records ensuring compliance with appropriate policies and procedures.
  • Maintain the Schedule of Matters (policy and strategy log) and ensure all policies are reviewed by the board and kept up to date
  • Operate as the main link between the company and its trustees
  • Take and circulate the minutes of Trustees’ meetings
  • Manages the company’s systems, filing and archiving

Be the lead staff member managing the Sharepoint datebase

  • Ensure filing and archiving are managed appropriately
  • Ensure internal meetings are serviced and well-managed
  • Take responsibility for HR documentation (recruitment letters, leave arrangements, exit interviews etc), and liaison with staff
  • Be the key link with external suppliers including for IT

Support business planning and reporting to funders and stakeholders

  • Co-ordinate reports for the board, funders and stakeholders as required
  • Co-ordinate plans and documents as part of business planning
  • As required support travel booking, generation of POs
  • Draw up documents as required

Other requirements

  • Able to travel occasionally or work unsocial hours
