Working hours:                 37.5- 40 hour week over 5 days (Monday – Friday)

 

 

The Role

 

As a key member of the HR Team, you will provide an effective, efficient, confidential and professional administrative support to the department.  You will be experienced in an administration role.  You will happily deal with changing priorities, managing the HR administrative workload whilst maintaining a high level of confidentiality.

 

 

Key Duties and Responsibilities:

 

General Human Resources Administration

 

  • Maintenance and updating of HR databases and intranet staff information, filing and organising within the HR office
  • Work experience administration and coordination
  • Producing HR related business and KPI information
  • Compiling national statistics requests
  • Compiling DBS information for historic and approved venues
  • Engagement survey support
  • Casual worker administration
  • Pension administration
  • Payroll administration and checks
  • Training administration and coordination
  • Arrange course bookings, chasing and logging employee attendance, maintaining training waiting lists
  • Organise room bookings and training requirements
  • Administer all course training materials and documentation
  • Process and administer all training certificates and photocards – electronic & hard copies

 

 

Employee Life Cycle and Support

 

  • Updating holiday and sickness absence records as required
  • Production of correspondence, scanning and filing, as required; assist staff with ad hoc general HR enquiries and reference requests, often being the first point of contact
  • Compile and provide employee letters and job descriptions for changes of role
  • Process leavers details and relevant administration
  • To assist in general recruitment activities and cover the recruitment coordinator role as required including;
    • sifting applicants and booking interviews
    • Manage the production of offer documentation and associated paperwork and action new starter processes e.g. offer letters, contract, starter packs, pre-employment checks, pre-employment medicals
    • Create new starter files (hard and digital copies)
    • Set up new starter records.
    • Maintenance and personnel updates to the HR System (SelectHR) and all personnel records
    • Co-ordinate first day details, inductions and on-boarding

 

 

Technical Skills

 

  • Proven IT skills, including use of Microsoft Office (Word, Excel and PowerPoint).  Working knowledge of an internal e-mail system and electronic diary is essential
  • Previous experience of using a Human Resource information system, Select HR would be an advantage
  • Very strong attention to detail and accuracy
  • Numerate and articulate in the written word
  • General understanding/awareness of HR practices and key employment legislation is desirable.
